Welcome to RentHomie ("we," "us," or "our"). We are committed to protecting your personal information and your right to privacy, and we handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. This Privacy Policy applies to all users of our platform, including landlords, tenants, property managers, and service contractors (collectively, "Users"), whether accessing our services via our website, mobile application, or other related services (collectively, the "Services").

RentHomie is a comprehensive property management ecosystem that uses artificial intelligence ("AI") to streamline maintenance triage, property oversight, and communication. By using RentHomie, you trust us with your information, and we take this responsibility seriously. This policy describes what information we collect, how we use it—including for the improvement of our AI models—and what rights you have in relation to it.

Important Notice Regarding AI Training: As described in Section 3 and Section 4 below, by using our Services, you explicitly consent to our collection and use of your data, including maintenance logs, diagnostic interactions, and property details, to train and enhance our proprietary AI models for property management and maintenance triage.

2. Information We Collect

We collect information that you provide to us, as well as information automatically collected when you use our Services.

A. Information You Provide

  • Account Information: Name, email address, phone number, password, and profile image/avatar.
  • Property Data: Addresses, property specifications (e.g., HVAC type, appliances, square footage), photos, videos, house rules, and amenities.
  • Maintenance and Triage Data: Descriptions of maintenance issues, photos and videos of defects, responses to diagnostic questions, and communication logs within maintenance tickets.
  • Financial Information: Payment method information (processed and tokenized securely by our third-party payment processor), transaction history, rent payments, and, where you enable automated rent collection, bank account details for pre-authorized debit (EFT) or Interac payments.
  • Verification Information: Identity verification documents required for landlords or contractors to establish trust and safety on the platform.

B. Information Automatically Collected

  • Usage Data: Information about how you interact with our platform, features used, and time spent.
  • Device Data: IP address, browser type, device type, operating system, unique device identifiers, and push-notification tokens.
  • Communication Data: Content of messages sent through our in-app chat system, including time stamps and participant lists, to facilitate service coordination.

3. How We Use Your Information

We use the collected information for the following purposes:

  • Service Delivery: To manage properties, process rental agreements, facilitate payments and rent collection, and coordinate maintenance work orders.
  • AI Triage and Diagnostics: To analyze maintenance requests, identify issue severity, recommend DIY fixes, and generate diagnostic reports for contractors.
  • Model Enhancement (Machine Learning): We use de-identified and aggregated data from maintenance tickets, diagnostic outcomes, and triage interactions to train, retrain, and improve the accuracy of our AI models. This helps our system become better at diagnosing issues and estimating costs over time.
  • Communication: To send you push notifications, service updates, and facilitate chat between landlords, tenants, property managers, and contractors.
  • Safety and Security: To verify user identities, prevent fraud, and resolve disputes.

4. Sharing Your Information

We share your information only when necessary to provide our Services or as required by law:

  • With Counterparties: Landlords see tenant details relevant to a tenancy; Tenants see landlord and property details; Property Managers and Contractors see the information necessary to manage a property or perform work.
  • Service Providers: We share data with trusted third-party service providers who help us operate the platform, including Stripe, Supabase, Google, Firebase, Zūm Rails, and Vercel.
  • Compliance with Laws: We may disclose information where required by law, regulation, or legal process, or to protect the rights and safety of our users.
  • Business Transfers: Information may be transferred as part of a merger, sale, financing, or other transfer of RentHomie's assets.

5. International Data Transfers

Some of our service providers store or process information on servers located outside of Canada, including in the United States. Where personal information is transferred to or processed in another jurisdiction, it may be subject to the laws of that jurisdiction, and we take steps to ensure it remains protected by comparable safeguards consistent with applicable Canadian privacy law.

6. Data Retention and Security

We retain your personal information for as long as your account is active or as needed to provide you the Services, comply with our legal obligations, resolve disputes, and enforce our agreements.

We implement industry-standard security measures, including encryption and secure tokenization of payment data, to protect your personal information. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

Subject to applicable law, you have the following rights regarding your personal data:

  • Access and Portability: Request a copy of the personal data we hold about you.
  • Correction: Request that we correct inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data, subject to legal and contractual retention requirements (for example, records required to resolve a dispute or meet regulatory obligations).
  • Withdraw Consent: Withdraw consent to certain processing or opt out of marketing communications, subject to legal or contractual restrictions.

To exercise these rights, contact us using the details in Section 11. You also have the right to make a complaint to the Office of the Privacy Commissioner of Canada or your applicable provincial regulator.

8. Beta Program Notice

If you are participating in a Beta version of RentHomie, you acknowledge that the Services are still under development. Data collected during the feature testing phase is important for refining our platform and AI capabilities. By participating, you agree that your usage data and feedback may be used to modify and improve the product before general release.

9. Children's Privacy

Our Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected such data, we will take steps to delete it.

We may update this Privacy Policy from time to time. The updated version will be indicated by an updated "Last updated" date. We encourage you to review this policy periodically to stay informed about how we protect your information.
